WorkFor is currently looking for a full-time Business Operations Assistant, in order to assist the Business Operations Manager in projects including clerical and operational.

 

Responsibilities: 

 

  • Gather/compile overall payroll information and work closely with the payroll department
  • Efficient preparation, execution and maintenance of payroll reports
  • Reconciliation of documents related with absences
  • Labor history reports for department analysis and reporting
  • Schedule recruitment interviews and maintain the recruitment database

 

Administrative and Facility Management: 

 

  • Manage, organize, and arrange administrative support functions, which may include clerical support, office supplies or equipment purchases, office assignments, and food and beverage accommodations.
  • Support Company event planning for meetings for senior management, company employee events, Clients, etc.
  • Primary liaison for building management to include day-to-day operations of the facility, cleaning services, and other building services.
  • Under direction or management of the Business Operations Manager ensure compliance of contracted services and quality of service.
  • Scheduling building maintenance, repairs, managing facility systems such as air conditioning equipment; and managing services provided by vendors. 

 

Knowledge, Skills and Abilities: 

 

  • Strong Interpersonal and organizational skills.
  • High degree of accuracy in attention to detail.
  • Must be organized with the ability to multi-task, prioritize, and work under pressure to meet tight deadlines.
  • Good oral and written English and Portuguese proficiency.
  • Ability to exercise discretion and confidentiality working with highly sensitive information.
  • Computer knowledge and software application skills on both a PC is critical, including: Word, Excel, PowerPoint and Outlook; Experience creating high quality presentation materials in a variety of delivery formats, with focus on PowerPoint.
  • Demonstrated ability to work well with others under stressful, time restricted conditions, displaying patience and tolerance and promoting teamwork.
  • Highly self-motivated, organized, and customer oriented. Ability to adjust to a rapidly changing environment and multi-task with minimal supervision.
